Hi Jake,
Thanks for sending those. I think the rendering looks much better, more like what I was expecting to see. I’m glad to
hear that in real life it will have a lower output too. Thank you for re-running the photometric as well. It is lower, which
is good, but not as low as required. You asked about a plan for lighting the sidewalks, and we don’t really focus that. It’s
mostly just around the intersection in an area like this. When the new round-a-bout is constructed, I think we will most
likely install 4 new street lights around it, which will help illuminate the area. (I have an email out to Chris Ogg, the Asst.
City Engineer, to confirm the number of lights.) Maybe some of the poles need to be removed or spread out more to get
the lighting levels down to 0.3 footcandles at the property line. Please keep working to achieve these measurements.
I probably have not mentioned this yet, for which I apologize, but we do need a PDF information packet for your project
to distribute to the Plan Commission Commercial Committee members. If you could throw something together today,
that would be awesome. If not, I completely understand, and we can accept it early next week and get it out to PC
members then. Just need a cover sheet, little info about the project, and a few drawings to explain what is proposed for
the committee members. We don’t need the full set of drawings or the detailed drainage info, just the basics and pretty
pictures. I have this slated to be on the Thursday, June 4 Commercial Committee agenda for approval, which you will be
receiving the agenda later today.

Good Morning. Hope this finds you well.
I have uploaded as of this morning a new / revised night rendering and two new photometric diagrams for review/
consideration.
Please note that on the night render, although I had our renderer scale down the output on the image, in reality the
lumen output for these recessed LED lights will be much lower in reality than what is depicted on this rendering. We can
provide cut sheet and photometric information if necessary.
Regarding the site photometrics, as suggested earlier we have had ESL spectrum re-run the lighting diagram for the site
with the post lights having a lower lumen output. The 2 new drawings should explain those lower values.

Following up on our ADLS amendment. Does the City believe that they have all of the drawings from our team and are
there any questions on the intent of this Amendment related to work we intend to do day 1 (i.e. stormwater piping
infrastructure only/ no parking lot expansion) and what permits we are asking for?

I just added you to this new project. You should have access to it now. It wouldn’t let me delete Jake (in order to add you
back in), but maybe if Ben can get in then he can release it back to the group and you can try to get in Jake. Let’s see and
if not I may have to do a reset password in order for you to get in.
That is weird that the old one is open, I can’t even find it in my database. Which I think is a problem…I will look into that.

Hi Jake,
Yes, I think that makes sense to show it this way. Looks like the project is created in Project Dox, and waiting for you to
accept the task to upload the files. Did you receive your invite email and create a log in (if not already done from a
previous project)?
Here are some helpful tips for uploading files:
Uploading:
When uploading documents, please note that each sheet of the drawings needs to be its own file. The application and
other text documents can be multiple pages. Any future version of the file must be uploaded with the SAME EXACT
NAME and the system will version it for us. (Do not put a new date behind it or name it Version 2, 3 , etc. yourself)
Naming:
In naming your files, please start with the words Landscape Plan, Site plan, etc. Do not put the name of the project or
the date first. It will be easier to identify what it is if the type of plan is labeled first (there is limited space to see the title
when in the system). Please see the user guide for additional naming preferences.
Submitting:
When you are finished uploading all of your drawings and applications/supporting documents etc., click on the Project
Tasks button near the upper right and then click on your task and follow the instructions to complete your task and
move the project on to the next step.
Computer Requirements:
ProjectDox functions best in Google Chrome.
Please Note:
As people finish their reviews, you will get an email notification every time that someone saves comments on a drawing.
We have it send you a notification so you can start working on the change prior to when you get the task back. It’s an all
or nothing thing on notifications. We can’t customize it per user. The hope is that you’ll see the comments as they come
in, then have time to work on them before you get the task back uploading revisions and sending the task back to us.
However, please know that just because someone saves a comment does not mean they are finished with their review.
Their review is not complete until they complete their task. If you see a comment and have a question, please don’t
hesitate to call or email. PDox is not meant to replace all communication – we still welcome that! This is just how we
work paperless now.

Good Morning Rachel.
We have completed our updated drawings associated with the stormwater/ landscape/ hardscape revisions associated
with the future parking addition.
At this time, Zotec is not planning to build the “future parking expansion” shown in the snip below, but would like the
storm piping associated with this future improvement installed so as to avoid tearing up the main access road if/when
the decision is made to add this parking after occupancy.
We intend to show this as you see below and still submit the drawings for engineering and planning approval. Please
confirm that this approach makes sense.
As our drawings are ready, please let us know the next steps for submitting.

Hi Jake,
Please submit an ADLS Amend application though our new Public Access Portal for Online Applications. Create an
account through the Sign Up button if you haven’t used it yet, and click Create Application at the top. From there, follow
these steps:
1. Planning and Zoning
2. Plan Commission
3. ADLS – Amendment
4. Begin Application
5. Fill out all the fields (FYI – these fields are the same as our previous paper version – just now in electronic form)
6. Click Submit
Please be sure to have some time set aside to fill this out. I have had a few cases where I was entering info, then got
distracted with other stuff, came back and thought everything was still filling out fine, I clicked submit and it returns me
to the log in screen. Can be frustrating so I just want to give a forewarning.

Once submitted, this will send the application to me to start the official review process. I will get the docket number
from the system and you will get a new email asking you to upload your plans into Project Dox for our TAC review.

Good Morning. We will have the first of what will likely be a couple of submittals ready to file later today.
This will include changes to the stormwater infrastructure to allow future capacity increase for adding approximately 62
surface spaces south of the structured garage. In addition to the utility drawings from CEC, RATIO will have updates to
the Landscape Architecture / Site Features, Grading, and Planting Plans as it relates to the parking changes and addition
of the monument/ directory signs.
What is the best way to get this information to you officially?

Do you anticipate any delay in city planning or engineering approvals to the road improvement (roundabouts) project
timeframes?
Please reference these attached (DRAFT) updated versions of Site Features Plans L201 and L202. These drawings will
include updates to stormwater infrastructure and plantings to address the addition of surface parking south of the
structured parking garage and the (2) signs being added to the west and north sides of the site. We anticipate issuing
these drawings as part of an ADLS amendment to include the lighting, signage, parking addition, level 5 trellis, and
stormwater upgrades.
As previously mentioned we are also studying a potential modification to the top deck of the parking garage that could
either involve green roof or some form of sunshades. The objective is to visually screen as much of the vehicles on the
top deck as possible from the office building. As this study is still in concept development the final submission will likely
not be ready to submit until late April or early May, so perhaps this can be an amendment #2.
Please let us know your thoughts. If it is any easier, we could perhaps establish a brief call to review these changes in
more detail with staff and discussion and specifics you may have.

Thanks for your email. Yes, there will most likely be a delay for your April BZA meeting. We had to cancel the March BZA
(and Plan Commission meetings too) and will now need to find a make-up day for that meeting. We had discussed the
idea of pushing March’s meeting to April, and April’s to May, etc. as one option. We also are open to having special
meeting dates whenever we are allowed to meet in person again, and offer the reduced 10 day public notice
requirement (instead of 20 days) for Petitioner’s required public notice. Nothing has been decided yet. We are currently
working on finding ways to hold public hearings electronically, that would still allow the public to actually voice concerns
in a controlled manner (vs. just writing in letters or comments). This is our hope to get caught up from the March
meetings that had to be cancelled and to try to stay on target for future meetings. I have copied Angie Conn and Nathan
Chavez on this email. Angie will be your best point of contact for the variance hearings and will let you know what is
decided.

Good Morning. We are reaching out to you with a few key questions/ points as the project really ramps up the pace of
construction over the coming months.
SIGNAGE – As you may be aware, Zotec/ RATIO have been working with Staley Signs to develop the signage
package for the project.
o Monument Sign - We have worked closely with Doug Staley to develop the exterior, façade mounted
signs in addition to a single monument sign along Illinois Street at the west entry drive.
o RATIO will create some graphics to explain our design, but are envisioning a back-lit glass that matches
the color of the building glass which will be attached to a concrete wall with individual round fittings.
Over the glass, we intend to mount cut aluminum lettering for the “ZOTEC Partners” brand logo that will
be visible on both the N/S side of this monument sign. The size will be 6’ tall x 20’ wide.
o Directory Sign – Similar to the monument sign, we intend to add a directory sign that will land at the
east side of Zotec Way north of the garage. The size will not exceed 20sf or roughly 3’ x 6’, and will use
similar back-lit glass and aluminum cut lettering.
*Do you see any issues with what is being proposed above? I will have to defer to Nathan Chavez, our
sign permit specialist on this. I know Doug has emailed us the sign package and I’m sure Nathan is
working on reviewing that. (I have not had a chance to look at it yet, I’m sorry.) I think as long as you are
meeting the Bridges PUD requirements for size, you should be good. As I mentioned on the phone, I do
know off hand that the UDO requires a masonry base for any ground sign, which we would like to see
incorporated here if possible. But the idea/design sounds very neat and innovative.
GARAGE – The Parking Garage Structure design has been modified and is being constructed in a manner that
could allow a potential expansion of the structure to the south in the future to accommodate up to 260 cars,
should Zotec realize this need. Please note that these changes will not be visible other than a change to
downturned beams at the south end of the garage with cable rail. The proposed/ submitted fin tube screening
around the perimeter will remain unchanged.
o Our consulting civil engineer CEC is working on a revision to the stormwater system to accommodate
either this future parking deck extension, or an addition of paved asphalt to the south of the garage
currently under construction to accommodate 65 cars. During this process, Zotec has asked RATIO and
th
FA Wilhelm to explore the impacts of not providing parking on the top (5) level of the garage structure
so that they could in some manner screen the cars from the view of the office building. One potential
solution being considered is to convert the top level, which comprises roughly 90-100 spaces, into a
green roof (intensive/ tray system). This is a concept at this point, but in doing so this would result in a
net loss of the parking count by roughly 30 spaces after adding the surface parking.
*We are looking for feedback from the City of Carmel prior to making any further progress on this study.
We would LOVE to see a green roof installed here! This would be a great addition to the project and
something we could both boast about. We would be ok with expanding the parking to the south on a
surface lot, so long as drainage is accounted for, and landscaping is revised accordingly. We would also
want to make sure that sidewalks and pedestrian circulation is not impacted. I would want to see new
plans and elevations showing the changes.
LIGHTING – RATIO has been working with the Electrical Contractor and ESL spectrum to develop some additional
supplemental/ feature lighting schemes to the exterior of the building and the garage. Thus far, this has only
been a study with supporting pricing for Zotec to consider but we obviously want to verify with the City of
Carmel that what is being proposed is acceptable. Included in this lighting proposal:
o Recessed, linear strip LED lighting at the underside of the soffits/ canopies that would accentuate the
curvatures of the building geometry. We are a little hesitant on LED strip lighting, but are willing to see
your renderings for it and how/where it is recessed. We really just want to make sure that light is
continuous and there are no hot spots or breaks in the light that make it look not as well done. We also

don’t want to over-light the building, and would be interested to see ideas for key areas to be lit with
exterior up/down lights or lights washing the façade instead of LED strip lighting.

o Uplighting at the added trellises at the 5 level terraces to highlight the sunshades. Generally ok with
this proposal.
o Options to add down lighting around the perimeter of the parking garage to accentuate the fin tube
screening elements. This seems like a good idea, we would want to see the renderings you have for it, as
well as make sure that the garage is not lit internally all night, which would then detract from any
exterior architectural feature lighting you may install.
o RATIO has updated renderings that can be shared for your review. Yes, please share.

TRELLIS – I believe we sent some initial images of the proposed trellises at the 5 floor terraces. We can provide
some additional drawings as needed to support this change request. These are ok as proposed, I will add them
to your file.
