Good afternoon. The Yorktown Woods (YTW) HOA would like to move forward with getting approval from the City for a
play area in their common area/ tree preservation area. The YTW HOA would like to file an application on or before July
8 with hopes of getting on the August 22 Meeting Agenda.
1. Can you send me a few times when you may be available to set up a BZA "Pre- Submittal Meeting I am
available this week: Tuesday afternoon; Wed early morning; Thursday afternoon; and Friday early morning.
2. Attached is the application Daren Mindham gave me when I stopped by your office a few weeks ago. I know
these applications change regularly, so can you confirm this is current and it is the correct application for this
situation?
3. We are currently gathering the funds for the $291.90 application fee. Daren felt this would be the fee for this
situation. Can you please confirm that the application fee is still correct?
Attached is also "starting point" for the YTW HOA Play area. One of the items we would like to taik about with you are
what we need to propose to help this application through approval.
We aren't looking to build the Taj Mahal here, but something about %z the size and of similar quality to the play area
that was recentiv installed at Clay Terrace lbv Mitchell's Fish Market) is what we are shooting for.

Yes, That is correct. When the developer created this neighborhood development, all of the common area was to remain
tree preservation area. The developer also made commitments to that effect, and so think any changes to that would
need plan commission approval for a change to the recorded plat and a change to the recorded commitments.

In reference to your v- message; there would have to be some approval for this project amendment or
something first. After approval, then I would be happy to assist in organizing the layout to replant trees and
limit tree removal while adding soft infrastructure.
Proper approval would have to go through Angie Conn. Please correct me if I am wrong Angie.
As of now `play area' is not an approved use of the area.

I thought I would make known my thoughts on the project as it relates to the Tree Preservation Area. I
inspected the location today. I do not see a problem with your draft plan. I would eventually like to work on
what species will be replanted. Originally there were 38 trees mapped for this location, as long as there will be
38 trees here after everything is done, I will be happy. If you want to plant more, that's great! I would although
mandate that all trees be native to Indiana and planted according to the detail I have attached.
As with a Tree Preservation Area, these areas are basically a designation for a naturalized (no -mow) area. I
see that this area was never let gone to natural as the intent was made. However, with the approvals through
Angie are made so will the idea that this play area will then be maintained (mowed). So it is what it is. But, I
would like to have at least some of the north edge left to go natural. Mowing circles around trees is detrimental
to the tree health and ideally, originally, these trees were to be incorporated into a wooded area left to be wild
as with all other areas that are noted as Tree Preservation Areas.

I think what they have should suffice. Play areas is a little vague, but I can't see a better
word without limiting the use. Play Areas is generally used so, it's all fine.

owns the Common :areas. The Developer banded everything over to us a couple years ago, but 1
don't recall any documents that state this.
I think keeping this simple and hearing what the Planning Commission's concerns with this is
our first step. If more details are needed, I assume we can provide that at that time.
